Website Design Terms & Client Policies
Clear expectations. Smooth projects. Beautiful websites.
Thank you for trusting me with your website. My goal is to make the design process creative, collaborative, and as stress-free as possible. These policies simply make sure we both understand what is included, what happens if the project changes, and what support looks like after launch.

Tip: Fill out this project summary for each client before work begins. It becomes the written scope of the project.
1. Project Scope
Before work begins, we will agree on the general scope of the website, including the number of pages, features, integrations, and overall design direction.
The agreed project price covers only the work included in the original project scope. If the project grows or changes, the price and timeline may change too.
- New pages or major page redesigns
- Online stores, booking systems, memberships, admin dashboards, forms, automations, or payment features not originally included
- Major functionality or integrations added after the original quote
2. Payment Policy
A 50% non-refundable deposit is required before design work begins. The remaining balance is due before the website is officially launched, transferred, or fully handed over.
Work may be paused if an agreed payment is late. Any third-party costs are the client's responsibility unless they are specifically included in writing.
- Domain registration and hosting
- Website-builder subscriptions or credits
- Payment processing fees
- Business email services
- Premium plugins, stock images, or outside software
3. Revision Policy
Each website project includes up to two rounds of revisions unless we agree otherwise in writing. A revision round means the client submits a grouped list of requested changes at one time.
Clients are encouraged to carefully review each page and combine their feedback. Once a page, section, or design has been approved, substantial changes to that approved work may be treated as additional work.
Unlimited revisions are not included in the original project price.
4. New Requests & Scope Changes
I am happy to consider new ideas during a project. If a request falls outside the original agreement, I will let you know before moving forward and may provide a separate quote.
Small adjustments may be included at my discretion. Larger additions, new features, or significant redesigns are considered new work.
5. Client Responsibilities
The client is responsible for providing accurate information, feedback, approvals, and any materials needed to complete the website in a timely manner.
- Business name, logo, photos, pricing, and service or product information
- Contact information, social links, policies, and biographies
- Account access or credentials when reasonably necessary
- Permission to use any text, photos, logos, trademarks, or other materials provided
6. Delays & Project Timeline
Project timelines depend on timely communication from both sides. If requested content, account access, approvals, or feedback are delayed, the project completion date may also be delayed.
If a client becomes unresponsive for an extended period, the project may be placed on hold until communication resumes.
7. Communication
Clients may send questions or requests at any time, but responses are provided during reasonable working hours. Immediate replies, late-night support, weekend support, or same-day changes are not guaranteed unless previously arranged.
Normal response time may be up to 1–2 business days depending on workload.
8. Final Review & Approval
Before launch, the client will have an opportunity to review the website. The client is responsible for checking page content, spelling, prices, contact information, links, forms, images, services, and the overall design.
Once final approval is given, the website is considered complete unless there is a technical issue directly related to the original build. Changes requested after final approval may be treated as new work.
9. Launch & Handoff
Once final payment is received and the website is approved, the site may be published or handed over. The client will receive access to any administrative areas or accounts included in the project.
After handoff, the client is responsible for keeping passwords and account information secure. I am not responsible for lost passwords, deleted accounts, unauthorized changes, or changes made by the client or another person after handoff.
10. 14-Day Post-Launch Support
Each website includes 14 days of complimentary post-launch technical support for issues directly related to the original website build.
- A button created during the project is not working
- A page or design element is displaying incorrectly
- A form or original feature unexpectedly stops working
- A technical issue appears that is directly connected to the original build
Post-launch support covers original-build issues. It does not include new requests or ongoing website management.
11. What Complimentary Support Does Not Include
The following are considered additional work and may require a new quote:
- Changing text, photos, prices, services, or products
- Uploading new products or managing orders
- Adding new pages, features, forms, integrations, or social platforms
- Changing the overall design after approval
- Marketing, SEO work, ongoing maintenance, or repeated training
- Troubleshooting unrelated third-party accounts or services
A completed website does not include unlimited future revisions, lifetime technical support, or unlimited website management.
12. Ongoing Maintenance
After the complimentary support period ends, clients are welcome to request additional updates or maintenance. Availability depends on my current workload.
Additional work may be priced per update, per project, hourly, or through a future maintenance package. A quote may be provided before work begins.
13. Third-Party Services
Websites often rely on outside companies such as domain providers, website builders, hosting companies, payment processors, email services, Google, scheduling tools, or database platforms.
I am not responsible for outages, service interruptions, policy changes, fees, account suspensions, processing delays, verification requirements, or software issues caused by a third-party company. I may assist with troubleshooting when possible, but I cannot guarantee the performance of a service I do not own or control.
14. Payment Processing
If the website includes payment processing, the client is responsible for maintaining their own payment-provider account and complying with that provider's rules.
I do not control payment approvals, chargebacks, disputes, account verification, account holds, processing fees, refund decisions, or payment delays.
15. Sensitive Information & Secure Systems
Clients should not send or collect highly sensitive personal information through an ordinary website form unless an appropriate secure system is being used.
- Social Security numbers
- Banking information
- Tax documents
- Medical records
- Passwords or other highly sensitive personal information
For businesses that handle sensitive documents, such as tax preparation, secure third-party document portals or specialized software may be required and may fall outside the standard website project scope.
16. Website Performance & Business Results
I will make reasonable efforts to create a functional, polished, and visually appealing website. However, a website alone cannot guarantee business results.
I do not guarantee website traffic, sales, customer growth, Google ranking, social-media growth, profit, or customer inquiries.
17. Search Engines & Google
Basic indexing or search-engine setup may be included if agreed upon in the project scope. Search engines independently determine how and when websites appear in search results, so a specific ranking or placement cannot be guaranteed.
18. Cancellation Policy
The initial deposit is non-refundable because it reserves project time and covers work already started.
If the client cancels after work begins, payments already received will not be refunded. If significant work beyond the deposit amount has already been completed, payment for that completed work may be required before completed materials or account access are released.
19. Right to Pause or End a Project
I may pause or end a project if there is nonpayment, repeated failure to provide necessary information, excessive work outside the agreed scope, abusive or threatening communication, illegal requests, or requests that create unreasonable technical, legal, or security risks.
If a project ends, payment for completed work remains due.
20. Portfolio Use
Unless we agree otherwise, I may display the completed website in my professional portfolio, on social media, or in promotional materials as an example of my work.
Private client information, passwords, customer data, payment information, and confidential business information will not be shared.
21. Agreement
By paying the project deposit and authorizing work to begin, the client confirms that they have reviewed and agreed to these Website Design Terms & Client Policies.
Any major changes to the agreement should be confirmed in writing.
